Student Manager Release Notes
These notes apply to Student Manager versions 8.0 and 9.0.
Version 263.0, Release Date: July 6, 2026
Enhancements
- If the Lockout is active, staff who try to log in, the system will open a web page explaining that Student Manager is undergoing maintenance.
- Important change with Error 10 - Previous versions of Student Manager would silently ignore Error 10's, which can occur in email templates, modified reports, and other places. These errors are no longer silently ignored. If you see Error 10's, they have likely been occurring due to errors in templates or reports that have gone unaddressed.
- Updated the Lockout tool to more accurately know when you have exclusive access to the database.
- You can now run Backup, Pack/Reindex, and Apply Updates from the Lockout tool.
- Updated the Check for Updates tool to show version and dates of the installed exe and latest available. You can also download the latest version, lockout other users out, and apply the update directly from the Check for Updates tool.
- The Catch All cleanup tool now finds and fixes duplicate internal id's for registrations (rgoid field).
- Added the ability to include Age and Number of Seats when emailing roster to instructors.
- Use the Course Short Name in subject line when emailing roster to instructors.
These enhancements only apply to Student Manager 9.0.263:
- Record Pack/Reindex attempts and results in the Event Log.
- Added the ability to set Auto Tasks for System Maintenance (Lockout, Backup, Pack/Reindex).
- Added an option to clear All Bookmarks in the Course explorer More menu when viewing Bookmarks.
- Added Location to the Course Explorer.
- Updated the Change Sort Order option available in some report areas.
- Display important comments (start with !) and special needs as one dialog when viewing a Name record.
- Combined all cancelling course options into a single dialog window (i.e. clear attendance records, etc.).
- Updated the Combine Locations routine.
Bug Fixes
- Fixed errors in various routines for both Student Manager 8.0.263 and Student Manager 9.0.263.
- For those using the ACEweb Term Fee option: suppressed Calendar links for the Term Fee course in email confirmations.
These fixes only apply to Student Manager 9.0.263:
- Fixed an issue with some routines reading data from memory instead of the file.
- Fixed an issue with Staff Call Back list not populating with staff members.
- Fixed an issue with the Course explorer not respecting the filter if you set one on the F2 report.
- Fixed an issue with the system not showing the correct UDF labels in Name and Registration.
- Fixed an issue with validated UDFs that was not showing the validated options in the drop down.
- Fixed an issue that was not showing the Waitlist window when canceling a registration that has waitlisted registrations.
- Fixed an issue that was stopping the system from asking to adjust hours, credits, and ceus in registrations when changed on a course.
- Fixed an issue that was suppressing the check for room use and instructor conflicts when saving a course.
- Fixed an issue with the check for empty fee descriptions before saving that could cause an unbreakable loop.
- Fixed an issue with dates from last century not recording correctly (e.g. birthdates from 1900's).
- Fixed an issue that was not popping up Firm and Instructor comments when viewing records (i.e. comments that start with !).
- Fixed an issue that was not allowing edits to the Pay Date field on pay records.
Version 262.0, Release Date: March 30, 2026
- We have new automated testing abilities, which have lead to dozens of bugs/errors from across the application being fixed. Common errors fixed include: File is in use, File access denied, Before/After report errors, and some general write errors.
- Fixed a "Command Contains unrecognized phrase/keyword" error when using the shoupcls() function in reports or emails.
- Fixed an issue with Make Credential option that would crash if you entered a non-numeric value in the Credits field.
- Fixed an "Operator/operand type mismatch" error when right-clicking date or numeric fields in Search windows.
- Fixed a "Record is out of range" error with Favorite Reports if changing the Sub Area.
- SQL Users: fixed an issue with the Record "CRM" entry box that was keeping it checked when you unchecked it on the Report Options screen.
Version 261.2, Release Date: January 13, 2026
- Added the register.rgexpdate field to the email cursor so it can be included in email templates.
- Updated the Speed Registration import routine to create/update the person's Memberships (Name > Demographics tab > Memberships).
- Fixed an issue with Course Access Levels that would not let a staff member delete a grouping code under certain conditions.
- Fixed an Operator/operand type mismatch error when running the F2 Quick List report, choosing View Courses Where option and not entering begin or end date range.
- Fixed an issue with Student Manager not creating attendance records for Workshops.
- Fixed an issue with a Name record's Courses Taken list that was not sorting by Begin Date when clicking on the column header.
- Fixed an issue with SQL database generating an String or binary data would be truncated error when using the Brief Name Entry option and entering an ID longer than 9 characters.

2025 Releases
8.0.254, Release Date: October 10, 2025
- Fixed a bug that caused the Fee Order and Web Hide to randomly change, under certain conditions.
- Fixed a bug that was causing a broken link in the Email Link to Pay Group Balance generated email.
- Fixed a bug that would change the proxy on all the person's registrations, instead of just the opened registration group when you were changing or clearing the current Proxy.
- Fixed a bug that would let view only staff (Access Level is 2 in Name or Course) delete grouping codes from course records and interest codes from name records.
- Fixed a String or binary data would be truncated error when setting the Mail Pref on a >Name record.
- Fixed a Conversion failed when converting date and/or time from character string error when archiving courses.
- Added a feature to more easily export multiple Unlimited UDFs.
- For Alternate Interface users who restrict an interface to specific groups with the GroupList INI setting: added a drop down next to the Preview ACEweb Course Status Page (Internal Test) link so you can choose which interface to open the preview page.
- The Name Import routines will now log names that were not imported because they were duplicates.
- We've added a new AWS SES emailing option for our hosted customers who can't add spf/dkim/dmarc records to their DNS server.

- Updated the course Person(s) to Notify (BCC) field to only allow entry of email addresses.
- Updated the course Student List to include Suffix in the Name column.
- Fixed an issue with the Email Link to Pay Group Balance routine that was not correctly generating the link.
- Fixed an issue with Name and Course Numeric UDF drop down values not being saved into the table correctly.
- Fixed an error with Holiday Dates look up when sorting by Date.
- Fixed an error generated if updating the Instructor ID value.
- Fixed an error when cloning a course if the email address in the Person(s) to Notify (BCC) filed had an email address with an apostrophe.
8.0.252, released April 15, 2025
- New Option: choose the Sender when you send emails from Student Manager. See the Select Email Sender help topic for more information.
- New Option: when emailing receipt for grouped registrations, you can check the Currently Select Reg Only box to email the selected registration only. It will not generate emails for other registrations in the group.
- Updated the Transfer Payment routine to show how much the payment is and disallow transferring more than is on the payment.
- Updated the Emergency Email routines to add a cancel button and ability to edit the subject.
- Updated the Hybrid Virtual Max on the course Hybrid tab to allow 4 digits.
- Updated the Name Combine routines to save old phone number(s) in Contact History when combining name records.
- Updated the Pack/Reindex tool to disable the Run button when no options are checked.

- We will be doing quarterly Student Manager releases now, so we changed the Check for Updates routine to fire every 6 months (on Tuesdays).
- New Payment Service: we have added support for the Stripe Payment Processor.
- Updated the emailing instructor from course Quick Reports routine to ignore waitlisted registrations that have been canceled.
- Fixed an "Error in Name UDF Display" error when creating new Name records, if you were referencing a date field.
- Fixed an "Alias Firm is not found" error when accessing the Module > Registrations > Add/Edit Registrations (By Registrant) area and selecting a Name that had no Firm assigned.

2024 Releases
8.0.137.0, released October 29, 2024
- Updated the prompt to move someone off waitlist, when cancelling a registration, to a View waitlist option.
- Updated the Password Maintenance screen to move the password verification field under the Password field and added the Confirm label next to it. This update is to make it easier to see that you need to enter the Password twice.
- Fixed a bug in the WTPID import routine that was not updating NAMEUDFS fields.
- Fixed a bug in the HTML Editor that was not always clearing the formatting when applying the Tx button to the selected text.
- Fixed a bug in the Course Import Wizard that would not import records if column headers are in lowercase.
- Fixed an 'OLE error code 0x80070057: The parameter is incorrect' error that was generated when entering a bad year into the Course Begin Date field (e.g. 0024 instead of 2024).
- Fixed a 'This action won't work on multiple selections' error that would come up in Excel when you tried copying data from an XLSX type file exported from Student Manager.
- Fixed an SQL 'Conversion failed when converting date and/or time' error when saving a new report.

- Fixed an issue with Rosters that use the Fillblank() function to add additional lines to the roster.
- Fixed an "Alias [user]log not found" error when running a backup.
- Fixed an issue with deleting Main course fees that was not really deleting the fee.
- Fixed a "Variable Cocoord not found error" when searching for courses if you had the Disable 1st Auto Search preference enabled.
- Fixed an issue with adding a Zip code to the Billing Information on a Firm record that was not filling in City and State.
- SQL Users: fixed an issue on Names where it forced you to select a Firm twice.
- SQL Users: fixed an issue with Names UDF Display that would generate an error when adding a new Name record.
- When applying a gift card to a registration, the Payment screen will now show you the Gift Card code.
- The Broken and Missing Firm Links routine will now check for broken firm links on Instructor records.

- The Course Import routine will now log skipped course import rows to the importcrsebaddies.log file.
- Added Name UDF fields to the course Quick Report Name Roster area.
- Fixed a "SQL: Column 'RGADDTIME' is not found." error returned when running Certificates from Course Quick Reports and choosing the Select option to select registrants.
- Fixed a "CHKGROUP is not an object." error returned under certain conditions when printing receipts.
- SQL users: fixed an "Invalid column name" error when clicking the Additional UDFs button on a registration to view the unlimited UDF values entered.
8.0.135, released June 10, 2024
- An update is available for the Zip Code table. Instructions to download and install the update are available in the Help Center.
- Since so many people keep their phone numbers when they move now, Student Manager will no long fill in the area code when entering a Zip Code and the phone field is blank.
- When choosing the SELECT option during the Email Waitlist routine from Course Quick Reports, the Add Date now shows so you know who is first in line.
- Import routines will no longer ask you to verify fields if the column names exactly matches the Student Manager field names.
- Courses Taken on the Names screen now asks you to filter the list based on Completed, Upcoming, Waitlisted, or All courses.
- Added the ability to edit the Cert Date on the course Student List.
- When cancelling a registration in a course that has a waitlist, you are now asked if you want to unwaitlist the next person in line.
- If someone registers in one section of a course and they are on the waitlist for other sections, they are automatically canceled in those other sections to help keep those clean.
- Fixed an "Operator/operand type mismatch." error returned if you clicked the Disabled Password box on the Password Maintenance screen.
- Fixed an issue with the Name Combine routines that was not combining duplicate registrations if they were in the user's Archive.
- Fixed an issue with creating new Email Templates where the HTML Editor button was not live on the Email Body.
- Fixed a "Data Type Mismatch" error returned when trying to enroll in a Course Package.

- Updated several links in the system to point to correct locations at the new ACEware website, and the new Help Center
- Updated the emailing certificates separately routine to add the last 4 digits of the name ID to the PDF sent to the registrant, to ensure that each PDF generated has a unique name.
- Added a check for duplicate course records to the Tools > Data Cleanup > The Catch All... tool.
- Fixed an issue with the Group Due/Paid/Balance no correctly calculating. This bug only affected SQL users.
- Fixed an issue with the Name Combine routine that wasn't logging information the Name History field.
- Fixed an issue with location records not being deleted when clicking the Save, Find, or OK/Close buttons.
- Fixed an issue with the Paid amount on the Course screen not calculating correctly.

- Added a new Registration Preference to set the Get Web Certificate value for new registrations.

- Updated the Course Quick Reports > Send SMS to Class feature to run a report to show who will be texted and who will not.
- When uncanceling a previously cancelled registration, Student Manager will now reset the hours, credits, and CEUs to course defaults.
- A new course preference called Use N (Noon) and M (Midnight) designations to clarify 12 o'clock has been added to determine if course time uses AM/PM or N/M when setting hours to 12.
- VFP users only: when adding a course record and entering a course code that has been entered on a previously deleted course record, you will be asked to recover the deleted course or re-enter the course code.
- Fixed an error when adding a membership using with the number of days for the expiration (instead of using the specific date preference.
- Fixed an issue when combining Name records where both were registered and paid for the same class. In these cases, the system will now set the registration number to 2 so the registration is not overpaid.
- Fixed an issue with editing information in the Names > Courses Taken list and the Balance Due/Credit indicator would not refresh properly.
- Fixed an issue with the #Payments column in the Names > Courses Taken list showing the incorrect number of payments on archived registrations.

- Added the ability to set an expiration date for Escrow Payments on Pay Preferences. The Escrow Expire Date is added to the Payment and can be individually edited.
- The new Room Use Created By, Add Date, Updated By, Last Updated fields now show on the Room Use screen.
- The new Room Use Created By, Add Date, Updated By, Last Updated fields have been added to Room Use reports.
- The Catch All tool now audits the Group ID fields on Register, Register Fees, and Pay records.
- Fixed an issue with modifying reports locking up the report tables if you generated an error when saving the report change.
- Fixed an issue with the Course import wizard that was allowing unsupported location characters to be imported (e.g. (), [] ).
- Fixed a "CSROMNI must be created with SELECT…INTO TABLE" error when accessing Pocket Ledger from the Course screen.
- Fixed an "OLE IDispatch exception code from Twilio" error when attempting to send SMS text messages. This requires updated Twilio DLLs. Contact your ACEware technician for updated files.
- Fixed an error with the Spellcheck feature when it finds misspelled words.
- Fixed an issue with Attendance records not updating when rolling dates.
- Fixed a variable 'RGCRSE' is not found when clicking Print Receipt and Close button on Pay screen.
- Fixed a "Field INFO does not accept null values" error when trying to add a person to a membership.
- Fixed an issue with the course Quick Report's Send SMS to Class feature that was not sending out the text messages.
- Fixed an "Unknown member TXTPYNAME" when applying Financial Aid.
- Fixed a "Variable TESTID is not found" error when double-clicking the Show Pay column in the course Student List.
- Fixed an issue with the course Quick Report's Send Quick Email to Class feature when choosing an email template then customizing the email text. The customized text was not sent to the student.
- Fixed an issue with the FindCred() function generating an error.
- SQL Users: fixed an issue with the Course Age Requirement feature letting you into the course if you did not have a date entered into your Name record.
- SQL Users: fixed an issue that generated syntax errors if you had apostrophes in the Registration Note field when combining Names if the people were enrolled in the same class.
8.0.126, released September 5, 2023
- You can now set a minimum Age on the Course screen. Students must meet the minimum to enroll in the course. Note, this will require students to have a birthdate entered on their Name record.
- You can now filter out unpaid/overpaid courses when archiving.
- New Faculty Preferences: you can now turn off phone formatting on Instructor Fax and Page fields, and relabel them for other purposes.
- You can now create Unlimited UDFs for Instructors.
- Room Use records now log who created, updated, date created and date of last update.
- Student Manager logging routines have been revamped to be more efficient and provide more information.
- Fixed an SQL error with the Findcred() function when clicking the Close button without selecting any options.
- Fixed an issue with the Findcred() function that would send duplicate emails when choosing the Email Separately option.
- Fixed an "Operator/Operand type mismatch" error when printing a payment plan.
- Fixed a "Variable rgcrse is not found" error that would be generated under certain conditions when stamping CRM records after emailing registration confirmations.
- Fixed an "Operator/Operand type mismatch" error when mass grouping registrations by firm with existing invoices.
- Fixed an issue with editing Instructor records that would allow you to assign the same ID # to multiple Instructor records.
- Fixed a 'Variable 'ruoid' is not found' error that would be generated when printing a receipt under certain conditions.
8.0.125, released August 7, 2023
- SMS templates now support the ## delimiters.
- You can now email staff when cancelling a course through the Cancel Course Wizard. The routine uses the new CRSECANCEL email template.
- A new Course preference will require the membership to be paid before registrants can enroll in courses that have membership requisites.
- You can now email instructors when a course falls below the minimum enrollment. The new routine uses the MINNOT2TCH email template.
- Hybrid courses will show the Physical and Virtual Max on the Hybrid tab. Virtual Max is a calculation based on Course Max - Physical Max.
- Attendance Tracking Users: you can now track attendance for workshops.
- Fixed some grouping registrations errors.
- Fixed an "SQL: Column 'A' is not found" when importing an Ed2Go file.
- Fixed a "Variable 'CTHISDATE' is not found" error when filling in defaults on attendance records.
- Fixed an issue with seeing blank records when clicking the Show Group button if registrations were grouped.
- Fixed some printer issues with the F11 Attendance Tracker report.
- SQL Users: fixed an issue with the course Publish Date not clearing if you had a formula set in the Publish Date preference in Course Preferences.

- You can now reorder columns in many search screens, such as Course, Names, Registrations, and Faculty.
- You can now reinvigorate invoices with the Mass Group feature.
- There is a new Add Registration button on the Faculty record. Note, this will create a Name record for the faculty member, register them in the course, and associate the Name record with the Faculty record.
- You can now assign one user's favorite reports to another user from their Student Manager User record.
- Fixed a "File 'csrunaltered.dbf' does not exist." error when emailing transcripts.
- Fixed an issue where the labels were duplicating on the Payment screen.
- Fixed an issue with Room Use displaying the incorrect end time on the last session.
- Fixed an issue with the GRABREG() function returning an "Alias name is already in use" error.

- You can now run reports from the Search Reports by Keyword lists.
- You can now schedule when courses are included in the Email Course Reminders check.
- Student Manager will now write the course code to the CRM records when email registrants (e.g. from Course Quick Reports) and show any course-specific CRM records on the course Comments tab.
- When cancelling a Membership registration, the Membership Expire date will be set to the day before on the person's Name record (Demographics tab). This is to keep users from enrolling in courses online for the rest of the day after their membership was cancelled.

- Fixed an issue that would blank the Fee Active date on course Fees tab if you changed the course Begin Date.
- Fixed an issue where the Sender Name/Email address would change to the From Name listed in the Email Settings when sending emails if you previously ran any tool that checked for other users logged in (e.g. Show Users or Pack/Reindex).
- SQL Users: fixed an SQL error when querying for a value in a Memo type field.
