Source/Tracking Codes ​

The Source/Tracking codes are used to track the promotional item which generated this name (for marketing purposes).

Both codes use the same code list. You can access the list from:

  • Click the Add/Edit Codes button on the Main Toolbar
  • Select Module > Codes. Then select NAMES: Source/Tracking Codes from the Code Type list
  • Select Module > Codes. Then select REGISTER: Tracking Codes from the Code Type list

The coding design on source/tracking codes should receive some thought.  We suggest using a coding rubric similar to the course code, i.e. 17SNP01

  • First 2 digits (17) - is fiscal year
  • Third (S) is term i.e.: F = fall, S = spring, U = summer
  • Fourth/fifth digits (NP) is type of promotion, i.e. NP = Newspaper, FL = Flyer, CB= Cable Promotion.
  • Sixth/seventh digits for promotion number:  01 first Newspaper promotion for year/term, 02; second, etc.  Can alternatively be used to identify department, e.g. Flyer of courses offered by Computer department for specified year/semester.
  • You can also specify codes as only available for certain courses, used only for Registration record, or only for Name records by entering one of the following in the Code is Specific for field.
  • NAME - make the source/tracking code only available for use in Name records.
  • COURSE CODE - enter the specific course code (e.g. 17SNP01) to make the source/tracking code only available for use when individuals register in the specified course.
  • REG - make the source/tracking code only available for use in Registration records.

Scoping Source Codes ​

You can scope source codes with the Scope By setting. Source code scoping is useful for organizations with one Student Manager database, with multiple ACEweb Alternate Interfaces.

You can set ACEweb to only show source codes with specific identifiers with the InterestScope INI setting.

Set up scopes from Module > Codes, then select NAMES: Interest Code Scoping.
