Orphan Registrations and Payments ​

A record that has lost its link to a record in another table is called an "orphan" record. Examples of orphaned records:

  • A registration with no name ID or course number.
  • A payment with no name ID or course number.
  • A registration with a name ID or course number that is not in your system.
  • A payment with a name ID or course number that is not in your system.

Student Manager provides a tool that will create course record and name records and move any orphaned records to them. This allows you to transfer the registration/payment to the proper person and course. Or delete the records if they have already been recreated (e.g. you couldn't find it so you just re-entered the registration record).

IMPORTANT

Wwe strongly recommend making a backup before running this tool.

To run the tool:

  1. Select Tools > Data Cleanup > Orphan Registrations & Payments.
  2. If the system finds orphan records, it assigns them to an orphan course or a place holder name.
  3. The system runs updates the names courses taken, course and workshop enrollment counts.
  4. The system notifies you of how many orphan records it found.

Viewing Orphan Records ​

  • Records with no course number will be moved to a course with the title of Orphans.
  • Records with no name ID will be assigned to the 'Place Holder' name.

You can view orphans and transfer the registration to the correct person or course. Note: you will not be able to transfer a registration to a person if you have already recreated it.
